Document Actions The Document Actions command group enables you to view and update Windchill Document object information directly on the server from your Microsoft O ffi ce application DTI enables you to work with Windchill document objects. The Document Actions command group on the Windchill tab of the command ribbon contains commands that pertain to editing and updating Windchill document objects directly on the server from your Microsoft O ffi ce application The document actions are described in detail on the next slide

11. Attribute Actions and Help The Attribute Actions command group on the Windchill tab of the command ribbon contains commands that pertain to updating Microsoft O ffi ce document properties from Windchill and for viewing help from the Windchill Help Center Desktop integration enables you to refresh document properties in the current fi le from the Windchill object. It also enables you to review comprehensive help information from the online Windchill Help Center available from the Windchill server. The Attribute Actions command group on the Windchill tab of the command ribbon contains commands that pertain to Windchill document attributes The attribute actions are described in detail on the next slide

14. Simpli fi ed Edit Document Using Windchill Desktop Integration The enhancements to Windchill Desktop Integration enable you to update a Windchill document using Microsoft O ffi ce from the Microsoft Windows and Microsoft O ffi ce environment directly. Editing a Windchill document is almost as easy as editing any Microsoft O ffi ce document on your computer, and consists of three easy steps:   Step 1: Open a document by double-clicking a Windchill document in Windows Explorer or searching from a Microsoft O ffi ce application. When opening a Windchill document in a Microsoft O ffi ce application, you are automatically prompted for checkout

15. Simpli fi ed Edit Document Using Windchill Desktop Integration Step 2: Edit the document inside of the Microsoft O ffi ce application. You can make changes to the content just like any traditional Microsoft O ffi ce document   Step 3: Close the Microsoft O ffi ce application or Microsoft O ffi ce document. You are automatically prompted to check in the document

16. Simpli fi ed Edit Document Using Windchill Desktop Integration The streamlined Check In window automatically selects all of the appropriate information for the check in, but enables you to add speci fi c comments that are not required. Step 2 of the check in process enables you to choose the disposition of the fi le being checked in. You have three choices: •   Keep checked out after Check In •   Send local fi le to Recycle Bin •   Keep document open

12. Attribute Actions and Help •   Refresh Properties – Applies the current attribute information from Windchill to the document currently open in the Microsoft O ffi ce application •   Set State – Opens a window enabling you to change the state of the document. To set a document’s state, the document must be checked in •   New Promotion Request – Opens a window enabling you to initiate a promotion request. To set create a promotion request, the document must be checked in •   Help – Opens the Windchill Help Center and displays the online help for Windchill Desktop Integration •   About Windchill – Opens a window that displays information about your version of Windchill and installed modules and services available on the Windchill server

2. Content •   What is Windchill DTI? •   How to Install Windchill DTI (see separate guide) •   Working in Windows Explorer •   File Actions •   Document Actions •   Attribute Actions and Help •   Closing a Windchill Document in a Microsoft O ffi ce Application •   Simpli fi ed Edit Document Using the DTI

7. File Actions The File Actions command group enables you to create new Windchill documents using the current Microsoft O ffi ce document as the primary content, or to open the Microsoft O ffi ce fi les contained in an existing Windchill document DTI enables you to work with Microsoft O ffi ce documents directly as content fi les or attachments in Windchill. The File Actions command group on the Windchill tab of the command ribbon contains commands that pertain to creating new Microsoft O ffi ce documents or opening existing Microsoft O ffi ce documents as content fi les in Windchill The fi le actions are described in detail on the next slide

13. Closing a Windchill Document in a Microsoft O ffi ce Application When a user closes a Windchill document in a Microsoft O ffi ce application, you may be prompted to check in or update the Windchill document with the Microsoft O ffi ce document. This ensures that edits to the content fi le are saved to a new iteration on the Windchill Server   If the Windchill document is currently checked out by you: You are prompted: “Do you want to check-in the document?” If the Windchill document is not checked out, but you have made edits to the Microsoft O ffi ce document, you will be prompted as follows: If the Microsoft O ffi ce document that you originally downloaded was an earlier version, you are prompted: “Version is not the latest one, do you want to Update the document?” If the Microsoft O ffi ce document that you originally downloaded was the latest version, you are prompted: “Do you want to Update the document?”

8. File Actions •   New Windchill Document – Creates a new Windchill document with the current Microsoft O ffi ce document as the primary content •   New Windchill Document from Template – Creates a new Windchill document and opens a new Microsoft O ffi ce document based upon a copy of the primary content of the Windchill document template •   New Windchill Document Template – Creates a new Windchill document template using the current Microsoft O ffi ce document as the template content fi le •   Search – Enables you to search for and open the Microsoft O ffi ce document that is the content fi le or attachment to a Windchill document •   Revert to Windchill Copy – Downloads the latest copy of the Microsoft O ffi ce document currently stored in Windchill based upon the document that is currently open in the Microsoft O ffi ce application

6. Working in Windows Explorer The special features include the following: •   Double-clicking a document opens the primary content fi le directly in a native application on your computer. Microsoft O ffi ce applications prompt you to check out the document before opening the fi le in the Microsoft O ffi ce application •   Dragging Windchill documents or folders to a local folder prompts you to check out the documents that are being dragged •   Dragging from a local folder to the folders inside of the Windchill Documents folder prompts you for check-in if you currently have the fi le checked out, or prompts you to create a new document in Windchill •   Documents and subfolders inside of the Windchill Documents folder display Windchill attributes as fi le properties in Windows Explorer •   Right-clicking a Windchill document will enable you to:   Open the document in the respective Microsoft O ffi ce application   Rename the document in Windchill   View the Windchill information about the document

3. What is Windchill DTI? Windchill Desktop Integration (DTI) is a series of components that enable Microsoft O ffi ce applications and Windows Explorer to directly communicate with the Windchill system. Once Desktop Integration is installed, a Windchill tab is added to the Microsoft O ffi ce command ribbon and a Windchill Documents folder is added to the Computer location in Windows Explorer. These enhancements enable you to manage your Microsoft O ffi ce documents in Windchill without having to leave the Microsoft O ffi ce application, and they enable the “drag- and-drop” functionality between Windows Explorer and Windchill folders In addition to enabling commands that are available from the Windchill tab, a Microsoft O ffi ce application connected to a Windchill server automatically treats standard fi le operations as Windchill commands. For example, a Save command on a Windchill document prompts the user to check in the document, as does exiting the Microsoft O ffi ce application or closing the fi le after any update. Similarly, double-clicking a fi le in the Windchill Documents folder in Windows Explorer prompts the user to check out the document, downloads the fi le, and opens the fi le in the appropriate Microsoft O ffi ce application The Microsoft O ffi ce applications integrated with Windchill using Windchill Desktop integration include: Microsoft Word , Microsoft Excel , Microsoft PowerPoint , Microsoft Outlook , and Windows Explorer

4. How to Install Windchill DTI Included with   Windchill   is a Desktop Integration plugin that allows you to perform   Windchill   actions on documents (such as downloading, checking out, and checking in content) without opening Windchill in a web browser. When you install the   Windchill   DTI plugin, a new menu with   Windchill   actions is added to Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook There is no additional license required to install Windchill Desktop Integration on client side This guide describes the basics when working with DTI. See separate guide for installation instructions Note For information about versions of Microsoft applications supported by   Windchill   Desktop Integration, see the software matrix available at the following link: http://www.ptc.com/partners/hardware/current/support.htm Expand the   By Product   menu and select the   Windchill   Software Matrices appropriate for your site. Information about DTI is located under the   Windchill Client Components   section of the document.

10. Document Actions •   Check Out – Checks out the Windchill document object on the server based upon the Microsoft O ffi ce document currently open in the application. This action locks the Windchill document object so you are the only person who can make updates to it, including uploading a new iteration of the content fi le •   Check Out and Download – Checks out the Windchill document object on the server and downloads its primary content fi le for editing •   Check Out and Edit – Checks out and the Windchill document object on the server and opens an Edit window, which enables you to update the attributes of the Windchill document object •   Check In – Checks in the Windchill document object, by uploading the fi le currently open in the Microsoft O ffi ce application and creating a new iteration on the server. This action is only available if you currently have the document checked out •   Undo Checkout – Enables you to undo a checkout of the Windchill document object without saving any changes or creating a new iteration. This action releases your hold on the document and makes it available for others to check out •   Edit Document – Opens the Edit window, enabling you to edit attributes of the Windchill document object •   Rename – Enables you to type a new name or number for the Windchill document object. This does not a ff ect the Microsoft O ffi ce content fi le name. Renaming a ff ects all versions of the Windchill document •   New Revision – Creates a new version of the Windchill document object •   View Information – Displays the Windchill information page for the Windchill document object
